A Wide Open Calendar Is Quietly Costing You Bookings
When every slot on your booking page is free, new clients wonder why. Look busy hides a share of your open times so your calendar looks in demand, without touching your real availability.
Picture two booking pages side by side. Same service, same price, same photo of a calm treatment room. On the first, every hour from nine until four is open, every day, for the next six weeks. On the second, Tuesday has three times left. Wednesday has five.
Which one do you book?
Most people pick the second, and most people could not tell you why. It is the same instinct that walks you past the empty restaurant and into the one with a short wait. A full room says other people already checked, and it was worth it. An empty one makes you wonder what they know that you do not.
Your booking page sends that signal whether you mean it to or not. ClientBranch now has a setting called Look busy that lets you choose which signal it sends.
What an empty calendar says to a new client
A returning client does not care how open your week is. They already trust you. They just want a time.
A new client is different. They found you through a search, a post or a friend, and they are still deciding. They have no reviews in their head yet and no memory of your work. So they read whatever clues are in front of them, and your calendar is one of the loudest.
Every hour open, every day, for weeks, reads as one of two things. Either nobody books you, or you are brand new. Neither is a reason to hand over their card details. Some of those people close the tab and tell themselves they will come back later. Most never do.
The frustrating part is that a wide open calendar is often a sign of a healthy business. You kept your hours generous so clients could always find a time. You were being helpful. The page just does not say that.
What Look busy does
Look busy hides a share of your open times from your public booking page, so your calendar looks fuller than it is.
You pick how much. There are four levels:
- 10% busier takes the edge off a completely open week.
- 25% busier looks naturally in demand without leaving anyone short of choices.
- 50% busier makes most days look like they are filling up.
- 75% busier leaves a handful of times, for calendars with long open hours.
In the video above, a one hour coaching session showed eight open times on a Tuesday, every hour from nine until four. At 50% busier, the same Tuesday showed three: noon, one o'clock and four o'clock. Wednesday kept five, and a different five. Nothing else about the calendar changed.
The three rules that keep it safe
Hiding times sounds risky. What if a client wants the exact slot you hid? What if a slow week turns into an empty booking page? Look busy is built around three rules so neither happens.
It picks at random, then stays put. The hidden times are chosen at random, so there is no pattern for anyone to spot. No "they never do mornings" and no gap every other hour. But the choice is fixed for each time. A client who looks on Monday and comes back on Thursday sees the same options. Nothing reshuffles while they make up their mind, which is exactly when a jumpy calendar would lose them.
Every open day keeps at least one time. If hiding would wipe out a whole day, that day keeps one time on show. A day you are free never looks fully booked, so you never lose someone who could only come on that day.
It only changes what clients see. Your real hours stay exactly as you set them. Your Google Calendar is untouched. And when you book somebody yourself from the dashboard, for a time you agreed on the phone or at the desk, every open time is still there for you.
How to turn it on
It takes about fifteen seconds per calendar.
- Open Calendars in the left menu and click the calendar you want.
- Scroll to Booking rules. Look busy sits under how far ahead people can book.
- Pick a level from the menu.
- Click Save.
That is it. Your booking page updates straight away. Open it in a private window and you will see what a new client sees.
Each calendar has its own setting, so you can treat them differently. A free discovery call might stay wide open, because you want as many of those as you can get. A paid session might sit at 50%, because that is where the sense of demand earns its keep.
Which level to pick
Start at 25%. It is the level most people will not notice as a change at all. The page simply stops looking empty.
Move up when your hours are long. If a calendar offers twenty or more times a day, like a twenty minute call bookable from nine until five, even 50% leaves plenty of choice. If a calendar only offers four or five times a day, stay at 25% or below, so clients still have real options on the days they can make.
Give each level a couple of weeks before you judge it. Watch how many people land on the page compared with how many book. If more of them book, keep it. If fewer do, drop a level.
Who gets the most out of it
Look busy is at its best for a business that is good at the work and still building a name.
A massage therapist who has just gone out on her own, with a strong client list from the spa and a brand new booking page. A coach whose calendar is open because he blocks out time for new clients, not because nobody wants him. A hypnotist, a trainer or a consultant who keeps generous hours so people can always fit in, and finds those same generous hours make the page look quiet.
It also helps the busy business on its slow weeks. January, the week after a holiday, the stretch when regulars are away. Your page does not need to announce that.
What it is not
Look busy does not make fake bookings, send fake notifications or put invented appointments in your list. It does not change the numbers in your reports. There is nothing to clean up later.
It simply decides which of your genuinely open times appear on the page, the same way a restaurant decides how many tables to put out on a quiet night. Every time a client can pick is a real time, and every booking they make is a real booking.
The point
Your booking page is often the first time a new client meets your business. It should look like a business people choose.
Look busy is on every ClientBranch calendar now, under Booking rules. Pick a level, save it, and let your page look as in demand as your work deserves.
